Help Scout Alternatives: 7 Shared Inbox Tools Compared

Samih Sghier, FounderPublished October 29, 2026

The best Help Scout alternative for a small team is InboxPilot (we make it). It drafts replies from your own documents, policies and connected tools inside the Gmail or Outlook inbox you already use, so you approve and send from there.

Help Scout is built for teams that want a clean, simple helpdesk with email, live chat, phone and a knowledge base. If you answer from Gmail or Outlook and most questions are repetitive, staying in your inbox with AI drafts costs less and feels like less work.

Prices below are from each vendor's pricing page, checked October 29, 2026. We did not run paid trials.

Our pick: InboxPilot

InboxPilot is an AI shared inbox for Gmail and Outlook that connects to the inbox your team already uses. Every customer email gets an owner from plain-English assignment rules, split evenly across whoever is on duty, and before a teammate replies it warns them if the request is someone else's, a teammate is already replying, or a reply just went out. When a customer email arrives, it classifies the request, retrieves the relevant information from your own documents, Shopify orders, Stripe invoices, or Google Sheets, then drafts the reply for you to approve and send.

You stay in Gmail or Outlook. The draft appears as a reply in the thread, and you edit or send it from there.

It doesn't replace a helpdesk if you need live chat, phone support or a customer portal. What it saves is the lookup and the typing for the repetitive questions that make up most of the volume.

Starter is $39 a month after a 7-day free trial. Growth is $99 a month with Shopify order lookups, Stripe invoice retrieval, auto-replies, and unlimited workflows. Every plan includes unlimited team members; extra inboxes are $15/mo each.

The drafting itself is explained on the AI email replies page.

What Help Scout does, and what it costs in October 2026

Help Scout is a shared inbox and helpdesk with email, live chat, phone and a self-serve knowledge base. It markets itself as "support software for teams who care," and the interface is clean and opinionated.

Help Scout pricing is per agent per month: Standard $25, Plus $45, Pro $75 (all billed annually; monthly is $30, $54, $90). Standard includes AI Assist and AI Summarize. Plus adds AI Drafts, round robin routing, two advanced SLA policies, Salesforce/Jira/HubSpot integration, and caps at 50 users. Pro adds unlimited workflows, unlimited SLA policies, SSO/SAML, and HIPAA compliance, with a 10-user minimum.

Scout AI (customer-facing AI that resolves requests itself) costs $0.75 per successful resolution, billed monthly in arrears. New accounts get a 3-month free trial.

If you need a multichannel helpdesk with chat, phone and a knowledge base, Help Scout is built for that. If you answer from Gmail or Outlook and most questions are order lookups or policy questions, the inbox-native approach below costs less.

If you want to stay in Gmail or Outlook

Hiver: shared inbox inside Gmail

Hiver is a Chrome extension that adds shared inbox features to Gmail: assignment, collision detection, SLAs, and AI drafts inside the Gmail interface your team already uses.

Growth is $25 per user per month (billed annually, $35 monthly) with AI Agents and AI Copilot, the same price as Help Scout Standard. Pro is $55 per user per month ($65 monthly) and adds SLAs, CSAT surveys, advanced analytics, and premium integrations.

Hiver suits small teams that need assignment and reporting without leaving Gmail. Growth caps at 10 users; Pro and Elite have no caps but cost more than Help Scout Plus ($45/agent/mo).

Front: shared inbox with channels and workflows

Front is a shared inbox that brings email, SMS, WhatsApp, social channels and live chat into one interface with assignment, collision detection and workflows.

Starter is $25 per seat per month (billed annually, $35 monthly) with 10 automation rules and caps at 10 seats. Team is $45 per seat per month ($54 monthly) and adds AI Copilot for reply drafts, advanced workflows, and unlimited rules.

Front works with Gmail and Outlook addresses, but you open Front's app to read and reply, not Gmail itself. It's built for shared inbox coordination across channels. For a fuller comparison, see Front alternatives.

If you're comparing helpdesks more broadly

Freshdesk: multichannel helpdesk at a lower per-seat price

Freshdesk is a helpdesk for customer support teams. It connects to email, chat, phone and social channels with a ticketing system, automation, knowledge base and reporting.

Freshdesk pricing is per agent per month: Growth $19, Pro $55, Enterprise $89 (all billed annually; monthly is $23, $66, $107). Every plan includes 500 Freddy AI Agent sessions once; extra sessions cost $49 per 100. AI Copilot costs an additional $29/agent/mo on Pro and Enterprise.

Freshdesk Growth ($19/agent/mo) costs less than Help Scout Standard ($25), but Help Scout's interface is simpler and more opinionated. Freshdesk Pro ($55) sits between Help Scout Plus ($45) and Pro ($75). For a fuller comparison, see Freshdesk alternatives.

Zendesk: enterprise helpdesk

Zendesk is a ticketing platform for support teams across every industry. The cheapest tier with AI drafts is Suite Professional ($115/agent/mo billed annually) or Support Team ($19/agent/mo) plus AI Copilot ($50/agent/mo), so $69/agent/mo minimum with AI.

Zendesk for customer service starts at $19/agent/mo for Support Team (email ticketing only), $55 for Suite Team (adds messaging, chat, phone, AI Agents), or $115 for Suite Professional (adds AI writing tools, skills-based routing, and app builder).

Zendesk fits when you need deep SLA reporting, advanced routing, and enterprise integrations. Help Scout fits when you want a simple, well-designed helpdesk without the enterprise overhead.

Groove: simpler helpdesk for very small teams

Groove is a helpdesk for small teams with email, knowledge base, and basic reporting. It's one of the few helpdesks that feels lighter than Help Scout.

Starter is $16 per agent per month (billed annually, $20 monthly) with unlimited email, one knowledge base, and basic automation. Growth is $36 per agent per month ($45 monthly) and adds CRM features, custom reports, and Salesforce integration. Pro is $50 per agent per month ($62 monthly) and adds advanced automation and SSO.

Groove costs less per seat than Help Scout, but it offers less: no live chat, no phone support, and no AI features. It suits teams that only need email ticketing and a knowledge base.

Intercom: chat-first, not email-first

Intercom is a customer messaging platform built for chat, not email. It excels at in-app messaging, chatbots, and product tours, and it handles email as one more channel.

Essential is $39 per seat per month (billed annually) with 100 conversations included, then $0.99 per additional conversation. Advanced is $99 per seat per month with 500 conversations, and Expert is $139 with 1,000 conversations.

Intercom suits SaaS companies that want in-app chat with a bot layer. It doesn't suit teams whose main channel is email support; Help Scout's email-first interface works better for that.

When Help Scout is the right choice

Help Scout makes sense when:

  1. You want a clean, simple helpdesk. Help Scout's interface is more opinionated and easier to learn than Zendesk or Freshdesk. It offers fewer knobs to turn, which is a feature for small teams.
  2. You need email, chat and a knowledge base in one place. Help Scout includes all three on Standard ($25/agent/mo), while Zendesk requires Suite Team ($55) for the same bundle.
  3. You value customer-facing AI that pays per resolution. Scout AI ($0.75 per successful resolution) only charges when it answers without escalating, unlike per-seat AI add-ons that charge whether the AI works or not.

Help Scout doesn't fit when you're a small team answering 30-100 emails a day from Gmail and the work is mostly repetitive questions. That's when staying in Gmail with AI drafts feels like less overhead.

Prices quoted from Help Scout, Freshdesk, Zendesk, Front, Hiver, Intercom and Groove pricing pages checked on October 29, 2026. Help Scout's Scout AI pricing from the $0.75/resolution rate. InboxPilot is the publisher of this guide.

Questions

What is the best Help Scout alternative for a small team?

For a small team that answers from Gmail or Outlook, InboxPilot is the pick: it gives every request an owner, warns before a second teammate replies, and drafts replies from your own documents inside the inbox you already use, from $39/mo flat with unlimited team members. For a helpdesk with live chat and phone, Freshdesk Growth starts at $19/agent/mo. For Gmail-native shared inbox features, Hiver Growth is $25/agent/mo, the same price as Help Scout Standard.

Why would a team choose a Help Scout alternative?

Three reasons: they answer from Gmail or Outlook and don't want to migrate to a new interface, they need deeper CRM integration (Help Scout's Salesforce/HubSpot sync starts on Plus at $45/agent/mo), or they want lower per-seat pricing (Freshdesk Growth $19/agent/mo vs Help Scout Standard $25). Help Scout fits teams that want a simple, well-designed helpdesk with email and chat.

Is Help Scout cheaper than Zendesk?

Yes for small teams: Help Scout Standard is $25/agent/mo vs Zendesk Suite Team $55/agent/mo. With AI drafts, Help Scout Plus is $45/agent/mo vs Zendesk Suite Pro $115 (or Support Team $19 + Copilot $50 = $69). Help Scout caps at 50 users on Plus; Zendesk has no caps. Prices checked October 29, 2026.

Does Help Scout work with Gmail?

Help Scout can receive email sent to a Gmail address, but you work in Help Scout's own app, not in Gmail. If you want to stay in Gmail with assignment, collision warnings and AI drafts, InboxPilot works natively inside Gmail, or Hiver adds shared inbox features as a Chrome extension.
