Freshdesk Alternatives: 7 Compared for Small Teams

Samih Sghier, FounderPublished October 29, 2026

The best Freshdesk alternative for a small team is InboxPilot (we make it). It drafts replies from your own documents, policies and Shopify orders inside the Gmail or Outlook inbox you already use, so you approve and send from there.

Freshdesk is built for teams that need a dedicated helpdesk with email, chat, phone and a knowledge base. If you answer from Gmail or Outlook and most questions are repetitive, staying in your inbox with AI drafts costs less and feels like less overhead.

Prices below are from each vendor's pricing page, checked October 29, 2026. We did not run paid trials.

Our pick: InboxPilot

InboxPilot is an AI shared inbox for Gmail and Outlook that connects to the inbox your team already uses. Every customer email gets an owner from plain-English assignment rules, split evenly across whoever is on duty, and before a teammate replies it warns them if the request is someone else's, a teammate is already replying, or a reply just went out. When a customer email arrives, it classifies the request, retrieves the relevant information from your own documents, Shopify orders, Stripe invoices, or Google Sheets, then drafts the reply for you to approve and send.

You stay in Gmail or Outlook. The draft appears as a reply in the thread, and you edit or send it from there.

It doesn't replace a helpdesk if you need live chat, phone support or a customer portal. What it saves is the lookup and the typing for the repetitive questions that make up most of the volume.

Starter is $39 a month after a 7-day free trial. Growth is $99 a month with Shopify order lookups, Stripe invoice retrieval, auto-replies, and unlimited workflows. Every plan includes unlimited team members; extra inboxes are $15/mo each.

The drafting itself is explained on the AI email replies page.

What Freshdesk does, and what it costs in October 2026

Freshdesk is a helpdesk for customer support teams. It brings email, chat, phone and social channels into one interface with a ticketing system, automation, knowledge base and reporting.

Freshdesk pricing is per agent per month: Growth $19, Pro $55, Enterprise $89 (billed annually; monthly billing is $23, $66, $107). Every plan includes 500 Freddy AI Agent sessions one time; extra sessions cost $49 per 100. AI Copilot (drafts and summaries for your team) costs an additional $29/agent/mo on Pro and Enterprise.

If you need a multichannel helpdesk with phone, chat and a portal, Freshdesk is built for that. If you answer from Gmail or Outlook and most questions are order lookups or policy questions, the inbox-native approach below costs less.

If you want to stay in Gmail or Outlook

Help Scout: full helpdesk with live chat and AI drafts

Help Scout is a shared inbox and helpdesk with email, live chat, phone and a self-serve knowledge base. It works with any email address, including Gmail addresses, but you work in Help Scout's own interface.

Standard is $25 per agent per month (billed annually, $30 monthly) with AI Assist and AI Summarize. Plus is $45 per agent per month ($54 monthly) with AI Drafts, round robin routing and advanced workflows.

Help Scout doesn't connect to Shopify orders natively, but you can add the Shopify app from their marketplace to see order data in the sidebar. It's a full helpdesk that happens to work with any email address, not a Shopify-first product like Gorgias.

Hiver: shared inbox inside Gmail

Hiver is a Chrome extension that adds shared inbox features to Gmail: assignment, collision detection, SLAs, and AI drafts inside the Gmail interface your team already uses.

Growth is $25 per user per month (billed annually, $35 monthly) with AI Agents and AI Copilot. Pro is $55 per user per month ($65 monthly) and adds SLAs, CSAT surveys, and advanced analytics.

Hiver suits small teams that need assignment and reporting without leaving Gmail. Growth caps at 10 users, so larger teams need Pro or Elite ($85/user/mo).

If you're comparing helpdesks more broadly

Zendesk: enterprise helpdesk with an email ticketing tier

Zendesk is a ticketing platform for support teams across every industry. The cheapest tier with AI drafts is Suite Professional ($115/agent/mo billed annually) or Support Team ($19/agent/mo) plus AI Copilot ($50/agent/mo), so $69/agent/mo minimum with AI.

Zendesk for customer service starts at $19/agent/mo for Support Team (email ticketing only), $55 for Suite Team (adds messaging, chat, phone, AI Agents), or $115 for Suite Professional (adds AI writing tools, skills-based routing, and app builder).

Zendesk fits when you need deep SLA reporting, advanced routing, and enterprise integrations. A small team starting from Gmail should look at the inbox-native options first.

Zoho Desk: budget helpdesk with generous lower tiers

Zoho Desk is a helpdesk for small to mid-size teams with email, chat, phone and social channels. It connects to Shopify, WooCommerce and other platforms, showing customer data next to each ticket.

Pricing is per agent per month: Express $7 (up to 5 agents), Standard $14, Professional $23, Enterprise $40 (all billed annually; monthly is $9, $20, $35, $50).

Zoho Desk suits teams that need a full helpdesk at a lower per-seat price than Freshdesk or Zendesk. Express's 5-agent cap means growing teams move to Standard quickly.

Gorgias: for Shopify stores that need multichannel support

Gorgias is a helpdesk built for ecommerce, primarily Shopify. It brings email, chat, SMS, phone, Facebook, Instagram and WhatsApp into one dashboard with the customer's order data next to every conversation.

Gorgias pricing is by ticket volume: Starter $10/mo for 50 tickets, Basic $60 for 300 (monthly; $50 billed annually), Pro $360 for 2,000 ($300 annually), Advanced $900 for 5,000 ($750 annually). Overages cost $0.40 per ticket on Starter/Basic, $0.36 on Pro/Advanced. AI Agent costs $0.90-$1.00 per automated interaction.

Gorgias makes sense when you need multichannel support managed by a team. It doesn't fit when you're a solo owner answering 20-50 emails a day from Gmail. For that, see our Gorgias alternative guide.

When Freshdesk is the right choice

Freshdesk makes sense when:

  1. You need a dedicated helpdesk. Once you're adding chat to the site, taking phone calls, and building a knowledge base, Freshdesk brings it all together.
  2. Your team is past the Gmail-only stage. If you're ready to move support out of Gmail and into a purpose-built interface, Freshdesk's Growth plan is straightforward.
  3. You want automation at every tier. Freshdesk's workflows, auto-assignment and SLA rules start on Growth ($19/agent/mo), not gated to higher tiers.

Freshdesk doesn't fit when you're a small team answering 30-100 emails a day from Gmail and the work is mostly repetitive questions. That's when staying in Gmail with AI drafts feels like less overhead.

Prices quoted from Freshdesk, Help Scout, Zendesk, Zoho Desk, Hiver and Gorgias pricing pages checked on October 29, 2026. Freshdesk's AI Copilot pricing from the Pro and Enterprise plan add-ons. InboxPilot is the publisher of this guide.

Questions

What is the best Freshdesk alternative for a small team?

For a small team that answers from Gmail or Outlook, InboxPilot is the pick: it gives every request an owner, warns before a second teammate replies, and drafts replies from your own documents inside the inbox you already use, from $39/mo flat with unlimited team members. For a full helpdesk with live chat and phone, Help Scout Standard starts at $25/agent/mo. For Gmail-native shared inbox features, Hiver Growth is $25/agent/mo.

Why would a team choose a Freshdesk alternative?

Three reasons: they answer from Gmail or Outlook and don't want to migrate, they're under 300 tickets a month and Freshdesk's $19-$89/agent/mo feels uncertain, or they need features Freshdesk gates to higher tiers like multilingual support or advanced automation. Freshdesk fits teams that need a dedicated helpdesk; inbox-native tools fit teams that want to stay in Gmail or Outlook.

Does Freshdesk work with Gmail?

Freshdesk can receive email sent to a Gmail address, but you work in Freshdesk's own interface, not in Gmail. If you want to stay in Gmail with assignment, collision warnings and AI drafts, InboxPilot works natively inside Gmail, or Hiver adds shared inbox features as a Chrome extension.

How much does Freshdesk cost for a small team?

Freshdesk pricing is $19/agent/mo for Growth (billed annually), $55 for Pro, or $89 for Enterprise. AI Copilot costs an additional $29/agent/mo on Pro and Enterprise. Prices checked October 29, 2026 from freshdesk.com/pricing.
