Zoho Desk Alternatives: 7 Help Desk Tools Compared
Samih Sghier, FounderPublished October 29, 2026
The best Zoho Desk alternative for a small team is InboxPilot (we make it). It drafts replies from your own documents, policies and connected tools inside the Gmail or Outlook inbox you already use, so you approve and send from there.
Zoho Desk is built for teams that need a dedicated helpdesk with email, chat, phone and social channels, especially teams already using Zoho CRM or considering Zoho One. If you answer from Gmail or Outlook and most questions are repetitive, staying in your inbox with AI drafts costs less and feels like less overhead.
Prices below are from each vendor's pricing page, checked October 29, 2026. We did not run paid trials.

Our pick: InboxPilot
InboxPilot is an AI shared inbox for Gmail and Outlook that connects to the inbox your team already uses. Every customer email gets an owner from plain-English assignment rules, split evenly across whoever is on duty, and before a teammate replies it warns them if the request is someone else's, a teammate is already replying, or a reply just went out. When a customer email arrives, it classifies the request, retrieves the relevant information from your own documents, Shopify orders, Stripe invoices, or Google Sheets, then drafts the reply for you to approve and send.
You stay in Gmail or Outlook. The draft appears as a reply in the thread, and you edit or send it from there.
It doesn't replace a helpdesk if you need live chat, phone support or a customer portal. What it saves is the lookup and the typing for the repetitive questions that make up most of the volume.
Starter is $39 a month after a 7-day free trial. Growth is $99 a month with Shopify order lookups, Stripe invoice retrieval, auto-replies, and unlimited workflows. Every plan includes unlimited team members; extra inboxes are $15/mo each.
The drafting itself is explained on the AI email replies page.
What Zoho Desk does, and what it costs in October 2026
Zoho Desk is a helpdesk for customer support teams. It brings email, chat, phone and social channels into one interface with a ticketing system, automation, knowledge base and reporting.
Zoho Desk pricing is per agent per month: Express $7 (up to 5 agents), Standard $14, Professional $23, Enterprise $40 (all billed annually; monthly is $9, $20, $35, $50).
Express's 5-agent cap means growing teams move to Standard quickly. Professional adds SLAs, blueprints (visual workflows), and multi-department support. Enterprise adds AI QA, skill-based routing, and sandbox environments.
If you need a multichannel helpdesk with phone, chat and a portal, Zoho Desk is built for that. If you answer from Gmail or Outlook and most questions are order lookups or policy questions, the inbox-native approach below costs less.
If you want to stay in Gmail or Outlook
Hiver: shared inbox inside Gmail
Hiver is a Chrome extension that adds shared inbox features to Gmail: assignment, collision detection, SLAs, and AI drafts inside the Gmail interface your team already uses.
Growth is $25 per user per month (billed annually, $35 monthly) with AI Agents and AI Copilot. Pro is $55 per user per month ($65 monthly) and adds SLAs, CSAT surveys, advanced analytics, and premium integrations.
Hiver suits small teams that need assignment and reporting without leaving Gmail. Growth caps at 10 users, so larger teams need Pro or Elite ($85/user/mo).
Front: shared inbox with channels and workflows
Front is a shared inbox that brings email, SMS, WhatsApp, social channels and live chat into one interface with assignment, collision detection and workflows.
Starter is $25 per seat per month (billed annually, $35 monthly) with 10 automation rules and caps at 10 seats. Team is $45 per seat per month ($54 monthly) and adds AI Copilot for reply drafts, advanced workflows, and Salesforce/HubSpot integration.
Front works with Gmail and Outlook addresses, but you open Front's app to read and reply, not Gmail itself. It's built for shared inbox coordination across channels, not specifically for customer support. For a fuller comparison, see Front alternatives.
If you're comparing helpdesks more broadly
Freshdesk: multichannel helpdesk at a similar price
Freshdesk is a helpdesk for customer support teams. It connects to email, chat, phone and social channels with a ticketing system, automation, knowledge base and reporting.
Freshdesk pricing is per agent per month: Growth $19, Pro $55, Enterprise $89 (all billed annually; monthly is $23, $66, $107). Every plan includes 500 Freddy AI Agent sessions once; extra sessions cost $49 per 100. AI Copilot costs an additional $29/agent/mo on Pro and Enterprise.
Freshdesk and Zoho Desk sit at similar feature depth. Freshdesk Growth ($19/agent/mo) costs more than Zoho Standard ($14) but less than Zoho Professional ($23), and Freshdesk Pro ($55) sits between Zoho Professional and Enterprise ($40). For a fuller comparison, see Freshdesk alternatives.
Help Scout: for teams that need email, chat and a knowledge base
Help Scout is a shared inbox and helpdesk with email, live chat, phone and a self-serve knowledge base. It works with any email address and any industry.
Standard is $25 per agent per month (billed annually, $30 monthly) with AI Assist and AI Summarize. Plus is $45 per agent per month ($54 monthly) with AI Drafts, round robin routing, advanced workflows, and Salesforce/HubSpot integration.
Help Scout fits teams that need a full helpdesk with chat and phone but don't need deep CRM integration or the Zoho One ecosystem pull.
Zendesk: enterprise helpdesk
Zendesk is a ticketing platform for support teams across every industry. The cheapest tier with AI drafts is Suite Professional ($115/agent/mo billed annually) or Support Team ($19/agent/mo) plus AI Copilot ($50/agent/mo), so $69/agent/mo minimum with AI.
Zendesk for customer service starts at $19/agent/mo for Support Team (email ticketing only), $55 for Suite Team (adds messaging, chat, phone, AI Agents), or $115 for Suite Professional (adds AI writing tools, skills-based routing, and app builder).
Zendesk fits when you need deep SLA reporting, advanced routing, and enterprise integrations. A small team starting from Gmail should look at the inbox-native options first.
HelpSpot: self-hosted helpdesk
HelpSpot is a helpdesk you can self-host or run in their cloud. It handles email ticketing, knowledge base, automation and reporting, and it's one of the few helpdesks sold as a one-time license instead of monthly SaaS.
Self-hosted is $699 one-time for up to 3 agents, or $999 for unlimited agents. Cloud-hosted is $49/agent/mo (billed annually). Both include email, portal, knowledge base, and automation.
HelpSpot suits teams with internal IT support who want to self-host for data residency or who prefer buying software once instead of subscribing. If you need cloud-hosted SaaS, Freshdesk or Help Scout cost less per agent.
When Zoho Desk is the right choice
Zoho Desk makes sense when:
- You're already on Zoho CRM or considering Zoho One. Zoho Desk integrates deeply with Zoho CRM, and the Zoho One bundle ($45/user/mo for 45+ apps) includes Desk at no extra cost.
- You need a budget helpdesk for a small team. Express at $7/agent/mo (up to 5 agents) is the cheapest entry-level helpdesk on this page, and Standard at $14 is less than Freshdesk Growth or Help Scout Standard.
- You want automation at a lower price. Zoho Professional ($23/agent/mo) includes blueprints (visual workflow builder), multi-department routing, and custom roles — features that sit on higher tiers with other vendors.
Zoho Desk doesn't fit when you're a small team answering 30-100 emails a day from Gmail and the work is mostly repetitive questions. That's when staying in Gmail with AI drafts feels like less overhead.

Questions
What is the best Zoho Desk alternative for a small team?
For a small team that answers from Gmail or Outlook, InboxPilot is the pick: it gives every request an owner, warns before a second teammate replies, and drafts replies from your own documents inside the inbox you already use, from $39/mo flat with unlimited team members. For a full helpdesk with live chat and phone, Freshdesk Growth starts at $19/agent/mo. For Gmail-native shared inbox features, Hiver Growth is $25/agent/mo.
Why would a team choose a Zoho Desk alternative?
Four reasons: they answer from Gmail or Outlook and don't want to migrate, they need fewer features than Professional/Enterprise and Express ($7/agent/mo) caps at 5 agents, they want deeper integration with a non-Zoho CRM like Salesforce or HubSpot, or they're outside the Zoho ecosystem and don't want the pull toward Zoho One. Zoho Desk fits teams that need a full helpdesk with Zoho CRM or Zoho One.
Is Zoho Desk cheaper than Freshdesk?
Yes for small teams: Zoho Desk Express is $7/agent/mo (up to 5 agents) vs Freshdesk Growth $19/agent/mo. At higher tiers they converge: Zoho Professional $23/agent/mo vs Freshdesk Pro $55, and Zoho Enterprise $40 vs Freshdesk Enterprise $89. Both require annual billing for those rates; monthly billing costs 25-40% more. Prices checked October 29, 2026.
Does Zoho Desk work with Gmail?
Zoho Desk can receive email sent to a Gmail address, but you work in Zoho Desk's own interface, not in Gmail. If you want to stay in Gmail with assignment, collision warnings and AI drafts, InboxPilot works natively inside Gmail, or Hiver adds shared inbox features as a Chrome extension.
