Best for: anyone on Microsoft 365 who wants summaries and writing help without adding a vendor.

Copilot is the default because it is already there. The free Copilot Chat covers summarizing and drafting from the inbox; the paid add-on extends it to company documents and chats (pricing).

Limitation: it helps the person using it, one prompt at a time. It does not sort a team inbox on arrival or keep a queue of drafts waiting for review, and the document grounding costs extra per user.

2. InboxPilot

Best for: teams whose Outlook inbox answers customers, buyers, or suppliers with facts that live in documents and business systems.

Limitation: on Starter there is no document upload and one inbox only, and Fyxer's help center says it scans the Inbox and Sent Items folders only.

4. Superhuman Mail

Best for: people who live in email all day and want a faster client, and are happy to leave Outlook's interface.

Superhuman is a separate app that works with Microsoft 365-hosted accounts. Its Mail product includes auto drafts, auto labels, summaries, and AI writing in your voice, and it is only included in the Business plan at $33 per member per month billed annually, or $40 monthly (Superhuman plans).

Limitation: you replace Outlook rather than add to it, and it is the most expensive per-seat option here.

Limitation: it is not an AI drafter, so it solves a different problem from the rest of this list.

Two tools that are not Outlook options

Shortwave does not support Microsoft 365 or Exchange accounts. Outlook.com addresses only work by forwarding into Gmail, and you cannot send from the Outlook address (Shortwave docs).

Grammarly improves what you write, but it does not sort mail or draft replies on arrival, and its Microsoft Office add-in is being retired in favor of the desktop app (Grammarly support).

Whichever tool you pick, three rules keep the first month uneventful.

1. Start in draft mode. Let the assistant write, and keep sending manual until you have read a week of its drafts.
2. Connect the facts before judging the drafts. A drafter with no price list or policy document will guess or ask vague questions. Upload the documents your team already answers from.
3. Check what your admin allows. Microsoft 365 tenants often require admin consent for third-party apps that read mail, so ask IT before the trial rather than halfway through it.
