The best AI assistant for Outlook depends on one question: does it only help you read and write, or does it need to answer customer email with your own facts? Microsoft now puts free AI into Outlook for most business users, so paying for a second tool only makes sense if it does something Copilot does not.

Is Copilot in Outlook already enough?

For a lot of people, yes. Microsoft includes Copilot Chat in Outlook for business users on eligible Microsoft 365 plans at no extra cost, and without any add-on it can summarize threads and draft replies from your inbox and calendar (Microsoft Support, checked 2026-09-23).

The limit shows up when a reply needs facts that are not in your mailbox. Copilot grounds answers in company documents and chats only with the paid Microsoft 365 Copilot add-on, listed at $21 per user per month on annual billing for business plans, $25.20 month to month, and $18 on a first-year promotion running to December 31, 2026 (Microsoft 365 Copilot pricing). The add-on is not sold alone; it sits on top of a Microsoft 365 base plan.

So the practical test is simple. If your email is mostly internal and personal, start with what you already have. If your inbox answers customers, suppliers, or buyers who ask about prices, orders, and policies, keep reading.

How we compared them

Each tool was checked against the same five questions:

1. How it works with Outlook. Inside Outlook as an add-in, on the mailbox through Microsoft's API so results show up as folders and drafts, or as a separate email app that replaces Outlook.
2. Does it draft replies, or only sort, summarize, or polish what you write?
3. Can drafts use your own documents and business data, and on which plan?
4. Cheapest paid price for a single user, from the vendor's pricing page on 2026-09-23.
5. One limitation.

We did not run paid trials of every tool, so this guide does not rate draft quality or speed.

The 8 options, one by one

1. InboxPilot

Best for: teams whose Outlook inbox answers customers, buyers, or suppliers with facts that live in documents and business systems.

InboxPilot connects to an Outlook mailbox through Microsoft's own API when you sign in with Microsoft. Each incoming email gets the category it belongs under and stays in the Inbox, and replies are drafted from the sources you connect: uploaded price lists, policies and catalogs (PDF, Word, CSV, Excel), rows in a Google Sheet, Shopify orders and products, Notion, and Pipedrive.

Drafts wait in Outlook for a person to send by default. On Growth, you can let a category send on its own once it is reliably right, and route the rest to the person who should handle it.

Strengths

• Drafts use your own data on every plan, Free included, not only on a top tier.
• Priced per plan, not per seat, so adding teammates does not multiply the bill.
• Works the same way in Gmail, for teams split across both.
• A Slack integration posts matching emails to a channel with the reply drafted, and tracks who took each one (how it works).

There's a 7-day free trial. Starter is $39 a month, and Growth is $99 a month with Shopify, Notion and Pipedrive lookups, with unlimited team members on every plan (pricing). The AI email assistant page shows the product.

Limitation: there is no Outlook add-in, so settings live in the InboxPilot web app, and in a Microsoft 365 shared mailbox it drafts replies rather than sending them.

2. Microsoft 365 Copilot

Best for: anyone on Microsoft 365 who wants summaries and writing help without adding a vendor.

Copilot is the default because it is already there. The free Copilot Chat covers summarizing and drafting from the inbox; the paid add-on extends it to company documents and chats (pricing).

Limitation: it helps the person using it, one prompt at a time. It does not sort a team inbox on arrival or keep a queue of drafts waiting for review, and the document grounding costs extra per user.

3. Fyxer AI

Best for: individuals and small teams who want triage, drafts in their own voice, and meeting notes in one subscription.

Fyxer works on the mailbox and uses Outlook's folder and category system (Fyxer help). Pro, which drafts replies in your tone, is $49 per user per month, or $37 billed annually. Team, at $99 or $64 billed annually, adds several inboxes at once and context pulled from your integrations (Fyxer pricing, checked October 5, 2026). Limitation: Pro works on one inbox at a time, and Fyxer's help center says it scans the Inbox and Sent Items folders only.

4. Superhuman Mail

Best for: people who live in email all day and want a faster client, and are happy to leave Outlook's interface.

Superhuman is a separate app that works with Microsoft 365-hosted accounts. Its Mail product includes auto drafts, auto labels, summaries, and AI writing in your voice, and it is only included in the Business plan at $33 per member per month billed annually, or $40 monthly (Superhuman plans).

Limitation: you replace Outlook rather than add to it, and it is the most expensive per-seat option here.

5. SaneBox

Best for: anyone whose problem is clutter, not replies.

SaneBox works on the server through Microsoft's API, so its sorting shows up as folders in any Outlook app (SaneBox help). Plans start at about $65 a year (SaneBox pricing).

Limitation: it does not write replies at all. Pair it with Copilot if you want both.

6. Lindy

Best for: technical teams who want to build their own email agent with custom steps.

Lindy is an agent platform that connects to Outlook and can label, draft, and schedule (Lindy docs). Plus is $29.99 per user per month (Lindy pricing).

Limitation: you design the workflow yourself, and usage is metered in credits: 3,000 per user per month on Plus, with a single task costing anywhere from 2 to 2,500 credits according to the pricing page.

7. Spark

Best for: individuals who want a modern email client with AI help at a low price.

Spark is a separate app from Readdle that connects to Microsoft accounts through Microsoft's API (Spark help). Plus is $8.25 per user per month billed annually (Spark pricing).

Limitation: on the pricing page checked for this guide, auto-drafts and auto-labels were marked "soon", so today it is an assistant you prompt, not one that drafts on arrival.

8. Boomerang for Outlook

Best for: send-later, reminders, and scheduling inside Outlook on a small budget.

Boomerang runs as an Outlook add-in. Its AI feature, Respondable, gives feedback on the email you are writing rather than drafting one. Personal is $4.99 a month billed annually, and there is a free Basic plan (Boomerang subscriptions).

Limitation: it is not an AI drafter, so it solves a different problem from the rest of this list.

Two tools that are not Outlook options

Grammarly improves what you write, but it does not sort mail or draft replies on arrival, and its Microsoft Office add-in is being retired in favor of the desktop app (Grammarly support).

How to set up an AI assistant in Outlook without risk

Whichever tool you pick, three rules keep the first month uneventful.

1. Start in draft mode. Let the assistant write, and keep sending manual until you have read a week of its drafts.
2. Connect the facts before judging the drafts. A drafter with no price list or policy document will guess or ask vague questions. Upload the documents your team already answers from.
3. Check what your admin allows. Microsoft 365 tenants often require admin consent for third-party apps that read mail, so ask IT before the trial rather than halfway through it. For InboxPilot, send them how InboxPilot handles your data.
