Gmail filters and Outlook rules route team email by sender or subject for free. To route by what an email asks, InboxPilot (we make it) files each one under your team's labels and can forward it or post it to Slack. To give each email to one person in turn, Front, Hiver, Missive, Gmelius and Help Scout add round-robin assignment.

Route by what the email asks: AI routing
Keyword rules miss the customer who wants a refund but never writes the word. AI routing reads the request instead, the same call a person makes during email triage.
InboxPilot: route by meaning inside Gmail or Outlook
InboxPilot reads each new email in a connected Gmail or Outlook inbox. You describe each label in a sentence, such as "refunds, returns and damaged orders", and every email lands under the one label that fits, or none. On Outlook, the label is a folder.
For other routes, write the rule in plain English under Automations > Create action > Forward or label: "invoices and receipts go to accounting@yourcompany.com". A Slack action posts matching emails to a channel, where the first teammate to react with 👀 or reply takes it (Slack setup).
Connect a team address like support@ and setup can suggest up to four teams from your recent mail. It also drafts replies to the emails it routes, for a person to approve. There is no round robin: who has an email is tracked in Slack, not inside Gmail or Outlook.
Assign each email to one person: shared inbox apps
These tools give every email an owner, either a named person or the next one in rotation. Most also offer AI tagging that feeds the same rules.
Front: load balancing for larger teams
Front is a separate app that connects Gmail and Office 365, including Exchange shared mailboxes. Rules match the sender, recipient, subject or keywords and assign the conversation. Round robin works on every plan, and load balancing, which picks whoever has the fewest open conversations, starts on Professional.
Starter allows 10 rules, and Professional adds 20 rules and SLA rules. Routing by meaning comes from the Autopilot add-on, at $0.05 per triaged conversation.
Round robin only picks teammates who are online, so an email that arrives when nobody is signed in stays unassigned (Front help).
Hiver: round robin inside Gmail
Hiver adds a shared inbox to Gmail through a Chrome extension. Hiver Omni, a separate app, connects Google, Microsoft and Zoho inboxes. Automations match the sender, subject or recipient and assign to one person, or among several by round robin.
Growth needs at least two seats and allows 10 automations per shared inbox. Load balancing, with a cap per person, starts on Pro, and skill-based routing on Elite. AI Tagging can tag the first email and trigger a route, but each tag needs at least 10 tagged examples first (Hiver help).
Missive: least-busy assignment
Missive is a separate app for Gmail, Outlook and IMAP accounts, built around team chat inside each thread. Its assign action can go round robin or "least busy first", and it skips teammates who are out of office (Missive docs).
AI rules take a written condition and add labels, notes or drafts. Rules, auto-assignment and AI rules all start on Productive. Starter has no rules.
Help Scout: round robin on a help desk with a free plan
Help Scout is a separate app that keeps support email looking like email. Workflows match the sender, subject, body or tags and assign a conversation to a person or a team. Round robin starts on Plus, and balanced assignment on Pro.
The Free plan covers 5 users, 1 inbox and 100 contacts a month. A Microsoft 365 shared mailbox connects only by auto-forwarding, and replies sent from Outlook don't sync back (Help Scout docs).
Gmelius: assignment and AI dispatching for Gmail
Gmelius works inside Gmail, with web and mobile apps beside it. From Growth, rules assign by round robin among teammates marked Available, or by load balancing (Gmelius help). AI Dispatching tags the first message and routes it to the person who owns that tag.
Growth allows 10,000 rule runs a month. Every user needs a Google account, so there's no Outlook option.
Zoho TeamInbox: the cheapest fixed assignment
Zoho TeamInbox is a separate app that takes email by forwarding, POP or IMAP, or a Microsoft sign-in. A rule checks the sender, recipients, subject or body and assigns matching email to a named teammate, such as every "payment" email to one person (Zoho's example).
Starter allows 25 rules, and Professional removes the cap. Each rule names one person, and Zoho documents no round robin or AI routing.
Route team email for free in Gmail and Outlook
Both built-in options route by sender, subject or words in the email. Neither reads what the customer wants.
Gmail filters and Collaborative Inbox: Google Workspace
A Gmail filter can label, star or forward new email that matches a sender, a subject or words. To give each email an owner, a Google Group set up as a Collaborative Inbox lets members take a conversation, assign it to someone and mark it complete (Groups help).
Assignment there is by hand, and an admin has to turn on Groups for Business first. Our Gmail shared inbox guide has the setup.
Outlook rules and shared mailboxes: Microsoft 365
Outlook rules move, forward or redirect email by sender, subject or words. A Microsoft 365 shared mailbox gives up to 25 people one address and needs no license of its own, but nothing in it marks who owns an email.
Microsoft 365 blocks automatic forwarding to outside addresses by default, so a forward rule can save and then bounce (Microsoft Learn). All rules in a mailbox share 256 KB of space. The Outlook shared inbox guide covers the tools that connect to one.
