Challenge

Cornerstone Commercial Realty is a mid-sized commercial real estate agency based in Dallas, Texas, managing a portfolio of over 80 properties across office spaces, retail units, and mixed-use developments. With a leasing team of eleven agents and a property management coordinator handling day-to-day operations, the firm had built a strong regional reputation over twelve years in business.

But by late 2025, their inbox had become a serious operational bottleneck.

Prospective tenants – businesses looking for office space, retail units, or flexible commercial leases - sent the same questions constantly. What's the square footage? Is parking included? Are utilities covered? What's the lease term? Can we schedule a viewing? Is the space still available?

Every agent was answering these questions individually, manually, from scratch, multiple times a day. The leasing coordinator, Rachel Osman, estimated the team collectively spent between three and four hours daily just answering inbound inquiries – the majority of which were identical questions about the same properties.

Within five weeks, Cornerstone had replaced their manual inquiry response process with a fully automated drafting and routing system across all eleven agent inboxes and the shared leasing inbox.
