Troubleshooting Account Disconnections from InboxPilot (Google Workspace)

Description: If you're using a Google Workspace (business/school) email, your Gmail integration may disconnect due to organizational security policies. This guide helps your IT admin fix the issue by trusting the InboxPilot app in the admin console.

Gmail may disconnect automatically if your Google Workspace admin has not allowed access to InboxPilot.

Step 1: Identify the Problem

You may notice:

  • Gmail disconnects after a short time
  • Drafts no longer appear
  • Errors like invalid_grant or access_denied
  • Gmail works on personal accounts, but not your work email

These are signs your admin has restricted third-party access.

Step 2: Ask Your Admin to Trust InboxPilot

Share the steps below with your IT team or Google Workspace administrator:


Hi,

I'm using InboxPilot — an AI email assistant that drafts replies using Gmail. The app uses Google's official Gmail API but seems to be restricted by our Workspace policies.

Can you please mark it as Trusted in our admin settings?

How to trust the app:

  1. Go to: https://admin.google.com
  2. Navigate to:
    Security → Access and data control → API controls → App access control
  3. Click "Add App" → "OAuth App Name or Client ID"
  4. Search for InboxPilot and select it
  5. If InboxPilot doesn't appear by name, add it manually using the Client ID:
    475614499554-j0mmh6rholq0c8p0l06rrlqrgbu8snoe.apps.googleusercontent.com
  6. Mark it as Trusted
  7. Save changes

Additional Step - Exempt from Reauthentication Policy (Optional): If your organization uses reauthentication policies, you may also need to exempt InboxPilot:

  1. Navigate to Security → Google Cloud session control in the Google Admin console
  2. Expand the Google Cloud session control section
  3. Select "Require authentication"
  4. Check the box next to "Exempt trusted apps"
  5. Choose your desired Re-authentication method
  6. Click Save

This ensures InboxPilot won't be forced to reauthenticate repeatedly, preventing disconnections.

Step 3: Reconnect Gmail After Trusting

Once trusted:

  1. Go to InboxPilot Connect
  2. Click Reconnect next to Gmail
  3. Re-authenticate to lock in the new permissions
