# InboxPilot — Agent Capabilities

> InboxPilot is an AI email assistant for Gmail and Outlook: it drafts replies to a company's customer email from its own documents, website and connected tools, and routes what needs a person. It reads the mail arriving in the Gmail or Outlook inbox a team already uses, sorts it by request type, writes each draft from that company's own material, and waits for a person to approve each send by default.

This document describes what InboxPilot does, for AI agents and assistants. For a map of every page on the site, see https://www.inboxpilot.co/llms.txt.

## What InboxPilot does
Every message runs the same pipeline: classify, retrieve company knowledge, generate a response, apply business rules, route or escalate, send.

- Works the inbox a team already runs: classifies by urgency and topic, auto-labels, and prioritizes the queue with no manual rules to maintain.
- Answers the repetitive questions so nobody types the same reply twice.
- Drafts ready-to-send replies in your team's voice, grounded in your own knowledge.
- Routes threads to the right person without manual triage.
- Escalates when it is not confident, rather than guessing.
- Runs multi-step email workflows that you describe in plain English.
- Keeps a human in the loop: drafts wait for review, and auto-send is opt-in for trusted, low-risk workflows.

Common workflows: repetitive customer questions, quote and RFQ requests, order status and WISMO, document collection, bookings, purchase orders, vendor mail, dispatch.

### Scope
InboxPilot is the AI layer inside a mailbox a team already runs. It classifies what arrives, drafts the reply, applies the customer's rules, and routes or escalates. Teams keep whatever they already use to organize the work itself, and keep working in Gmail or Outlook throughout.

### Core features
- **AI drafting**: replies written in your team's voice from your own docs, price lists and past replies. https://www.inboxpilot.co/features/ai-email-replies
- **Classification and triage**: each new message filed under the team's own Gmail label or Outlook category, matched by meaning from a one-line description per label. https://www.inboxpilot.co/features/email-triage
- **Routing rules**: workflows forward a type of email to a teammate or team address, archive or mark it read, or post it to a Slack channel. https://www.inboxpilot.co/features/email-triage
- **Email workflows**: multi-step automations described in plain English. https://www.inboxpilot.co/features/email-workflows
- **Knowledge grounding**: answers come from the customer's own material, not a generic model. https://www.inboxpilot.co/features/ai-email-replies
- **Connected tools**: drafts read from Shopify, Stripe, Notion, Pipedrive and Google Sheets; workflows label, forward, archive or draft, and matching emails can be logged to a Google Sheet or posted to Slack. https://www.inboxpilot.co/#integrations
- **Slack**: matching email posts to a channel with the draft in the thread, where the team sends, claims or closes it; the bot answers questions about the thread and chases untouched email. https://www.inboxpilot.co/blog/slack-email-integration
- **Google Sheets**: log a row, or look one up, when an email arrives. https://www.inboxpilot.co/use-cases/gmail-to-google-sheets

## How AI drafts work
- **Grounded, not generic.** Drafts are written from your help docs, templates, saved replies, and website, so answers match your real policies instead of generic AI text.
- **In your voice.** Replies read like your team wrote them and stay consistent across every agent.
- **Reviewed by you.** By default, every draft waits for a human to approve and send. Auto-send can be enabled per workflow for trusted, low-risk cases.

## Email workflows: a sentence becomes actions
Describe what should happen in plain English and InboxPilot builds the trigger, decision, and actions, then runs them on new mail.
